Executive Assistant

JOB RESPONSIBILITIES


The ideal candidate should be a problem-solver and team player.  This is a very unique opportunity for one to work with the highest level of management to ensure the firm meets its mission and core values.  Applicants must have 5+ years of experience in executive assistance, business administration, or customer service field, and have a variety of skills that allow for adaptation to the diverse range of activities required for job performance.  The position is a direct report to the President of the firm.


Responsibilities for this position include:

  • Must be organized and able to communicate effectively with management, staff and clients.
  • Must be able to carry out the administrative direction of the President to other administrative and technical staff, and yet work in a diplomatic manner, yet be direct enough to ensure direction is carried through.
  • Be accountable and hold supervisor accountable for various duties.
  • Serve as the point of contact between executives and employees/clients; facilitate internal communication (e.g. distribute information and schedule presentations)
  • Either a general understanding of engineering and environmental consulting, or the capacity and desire to learn quickly about this field.
  • Manages complex calendars, arranges for meetings, daily workload, appointments, and travel arrangements.
  • Manage phone calls and emails on behalf of the President.
  • Assist with the planning internal events and activities to build community within the firm.
  • Ability to adapt to task changes associated with workload.
  • Assist with contacting clients, providing status reports and updates to clients.
  • Assist in general management of the office.
  • Assist in other departments as needed/requested, as approved by the President.

The ideal candidate should have a proactive attitude, a positive and enthusiastic approach to their workday, the ability to work as a team player, and the ability to work closely with, be mentored by, and effectively communicate with other administrative and technical staff.  Loyalty to the well-being of the firm and ability to hold in confidence sensitive management information will be the foundation of the chosen candidate.

 

EDUCATION, SKILLS AND EXPERIENCE

  • High school diploma or equivalent
  • Excellent organizational skills with attention to detail.
  • Ability to prioritize, multitask, and manage time effectively.
  • 5+ years relevant experience in the Administrative/Business field
  • Highly proficient in MS Word & MS Excel.
  • High level of accuracy and good proofing skills.
  • Keen mathematical skills to carry out financial tasks that require quick and exact calculations.
  • Strong verbal and written communications skills, with ability to communicate and interact effectively by phone and email.
  • Works well independently and as a member of a team.
